Position Overview 

We require a full-time Events Coordinator at Everwild to be responsible for managing group bookings and coordinating events to deliver exceptional guest experiences. Working closely with guests and internal teams, the role oversees event planning and execution, maintains accurate booking records, supports operational requirements, and identifies opportunities to enhance revenue through tailored experiences and upselling.

Salary: $56,000.00 per year plus gratuities 

Shift: Full-time and Permanent

Location: Canmore AB

Key Responsibilities 

On-Site Events

  • Serve as the lead coordinator for on-site events at Everwild Canmore, overseeing logistics, guest experience, and day-of operations from setup through to close
  • Act as the primary point of contact for event hosts and guests on the day, ensuring every detail is executed to Everwild's standard
  • Collaborate with the Spa, Food & Beverage, Housekeeping and Front Desk teams to align on event requirements and timing

Group Restaurant Bookings

  • Oversee and organize all group reservations within the restaurant, ensuring accurate communication between guests and the F&B team
  • Manage booking details, special requests, dietary needs, and pre-orders to set the F&B team up for success

Group Contracting & Co-ordination

  • Independently contract and manage all groups of fewer than 10 guests, from initial inquiry through to post-stay follow-up
  • For groups of 10 or more, support the post-contracting phase by taking ownership of organization, logistics coordination, and internal communication to ensure seamless execution

General

  • Maintain accurate records of group bookings, contracts, and communications, with some guidance from the corporate sales team
  • Identify and execute on opportunities to upsell spa, dining, and experiential add-ons to enhance group packages
  • Support the GM with reporting, scheduling, and other operational needs as they arise
  • Be present and hands-on as Everwild introduces new programming, providing on-site support during launches and helping shape the guest experience from day one

REQUIREMENTS

  • 2–5 years of experience in hospitality, event coordination, group sales, hotel operations, or a related field. 
  • Experience managing group bookings, corporate retreats, restaurant reservations, or special events. 
  • Customer-facing experience with a strong focus on guest service. 
  • Excellent organizational and project management skills, with the ability to manage several events and bookings simultaneously. 
  • Strong communication and interpersonal skills for interacting with guests, vendors, and internal teams. 
  • Ability to handle day-of event logistics and troubleshoot issues calmly. 
  • Sales and relationship-building skills, including identifying upsell opportunities for spa services, dining, and experiences. 
  • Strong attention to detail when managing contracts, dietary requests, schedules, and guest preferences
  • Comfortable working in a fast-paced, hands-on environment. 
  • Self-motivated and able to work independently with minimal supervision. 
  • Professional, polished, and guest-focused. 
  • Team-oriented, with the ability to collaborate across departments. 
  • Flexible with evenings, weekends, and holidays, as events often occur outside regular business hours
