Employment Type: Permanent, Part-time

Hours & Days of Work: 22.5 hours per week, 3 days a week

Location: Our office is located at 340 Gerrard St. E, Toronto, Ontario

Reports To: Director of Operations

Hiring Range: $35 - $40 hourly (weekly hours are approximately 22.5 hours to start). Full-Time (37.5 hours) annualized equivalent (for reference): approximately $68,000 – $78,000, plus a competitive benefits and pension plan

About the Position

We are seeking a Building Facilities Manager to provide hands-on oversight of daily operations and ongoing stewardship of our newly renovated three-storey office and Community Food Centre in downtown Toronto. You’ll play a central role in ensuring the facility is safe, efficient, compliant with relevant laws and standards, and comfortable for those who use it. As this role develops, you will contribute to establishing operational processes appropriate to a new facility and collaborate with internal stakeholders and third-party service partners. This role does not include direct people management at this stage.

This is an ideal opportunity for a facilities professional who enjoys hands-on building operations, values community-based work, and wants to help shape the operating and ongoing stewardship of our newly renovated three-storey office and Community Food Centre at 340 Gerrard St. E. This is a new role with the opportunity to shape the systems, standards, and routines that will keep our building safe, welcoming, efficient, compliant, and responsive to the needs of staff, community members, partners, and program participants.

Key Responsibilities

Manage building operations, third-party service coordination, and maintenance oversight Serve as the primary point of contact for day-to-day facilities matters. Perform basic repairs and maintenance that don’t require professional services. Monitor preventative maintenance schedules and manage inspections and service delivery. Respond to urgent facility matters, including service disruptions, emergencies, and after-hours issues when needed.

Stakeholder and vendor management Source, coordinate and hold third-party contractors accountable for mechanical, electrical, plumbing, fire safety, security, and other systems. Review quotes, contracts, and scope of work to ensure that work is addressed in a timely manner. Onboard new vendors and support the operations team with contract renewals with current vendors. Collaborate with internal teams to support maintenance and renovations, and ensure that operational requirements are met.

Life safety, security, and regulatory compliance Ensure life safety systems (e.g., fire alarms, sprinklers, emergency lighting) are tested, maintained, and documented to meet municipal and provincial standards under the Ontario Fire Code and related authorities. Support compliance with the Ontario Building Code (OBC) and local regulations, including record-keeping of inspections, tests, permits, and certifications. Help administer emergency preparedness plans, including fire safety, evacuation, and business continuity procedures. Work with security vendors and internal teams to respond to incidents and refine access procedures.

Waste, grounds, and daily services Oversee grounds maintenance, waste management (including City of Toronto organics, recycling, and garbage programs), and coordinate with service providers. Liaise with cleaning services and help ensure the facility is clean, safe, and welcoming.

Documentation, planning, and budgeting support Maintain thorough documentation of facility activities, service contracts, warranties, and technical manuals. Support budgeting for facilities operations and identify opportunities to optimize costs and improve system reliability.

Qualifications & Skills

Typically requires 3-5 years of progressive experience in facilities management, building operations, property management, or related fields, including frontline facilities work and experience supervising staff, contractors, and vendors. Knowledge of building systems (HVAC, electrical, plumbing), life safety systems, and compliance frameworks. Proven ability to coordinate and oversee third-party vendors and service providers. Familiarity with Ontario regulatory standards (Ontario Building Code, Ontario Fire Code, accessibility standards such as AODA) and municipal requirements is an asset. Strong organizational, communication, and problem-solving skills. Independent work style and comfort establishing new processes in a dynamic environment. Digital fluency and adaptability, with the capacity to navigate evolving tools, systems, and workflows in a fast-paced organizational context. Preferred:

Professional facility management certification (e.g., BOMI, IFMA – FMP) or a demonstrated commitment to obtaining certification is strongly preferred. Experience in community-focused or multi-use facilities. Experience with kitchens and kitchen equipment.

Work Arrangement

This role is expected to start as part-time/flexible with evolving scope as building operations mature. Opportunities to expand hours or responsibilities based on organizational needs. This is an in-person role that includes scheduled on-call coverage, with occasional availability required outside of regular business hours to respond to urgent or unexpected facilities issues. Emergency response will follow established vendor and escalation protocols in collaboration with the Director, Operations. Comfort using Google Workspace (or similar tools), project management software like ClickUp, and CRM platforms (we use Salesforce), along with openness to learning new digital tools and workflows.

Physical Demands & Work Environment

This role involves regular movement throughout a three-storey building and Community Food Centre, including walking, standing, bending, and navigating stairs.

The Building Facilities Manager may be required to:

Perform light physical tasks such as moving small equipment or supplies. Occasionally lift or carry items up to approximately 25 lbs. Visually inspect building systems and spaces, including mechanical rooms and service areas. Respond to urgent facilities issues that may require on-site presence outside regular. business hours on an infrequent basis.
